How to Keep Your Digital Name Card Up to Date: A Quarterly Checklist

A digital name card is easy to keep current, which is exactly why so many go stale. Because the profile behind the QR code or NFC card is editable, nothing forces you to fix it. The old job title keeps showing, the number you stopped answering stays on the page, and a link to a promotion that ended months ago sits next to your name. Nobody notices until a client does.

Why an editable card still goes out of date

A paper card is wrong the day your number changes, and you know it, because the box in the drawer is suddenly useless. A digital card gives no such warning. The QR code still scans, the NFC card still taps and the page still opens, so everything looks fine from your side while one detail on it is wrong. Three things make this easy to miss.

• Nothing prompts you. A scan or tap works whether the details are current or not. Only a person reading the page can tell.
• Change happens elsewhere first. A promotion is announced by email, a new number starts on a new SIM, a company renames itself in a memo. The card is the last place anyone thinks of.
• You rarely look at your own card. You set it up once, and after that other people see it far more often than you do.

The fix is not more technology. It is an owner, a short list of things to check and a date in the calendar.

Decide who owns each card

Every profile needs one named owner: the person responsible for noticing that it is out of date and for making the edit. Without one, the card belongs to everyone, which in practice means nobody. The right owner depends on how the cards are used.

Whatever you choose, write it down. One line in a staff handbook or onboarding checklist, saying who owns the digital name cards and how to ask for a change, is enough. What goes stale: the list to check

Work through the profile from top to bottom. Most out-of-date cards are wrong in one of the places below.

Do not limit the check to what you changed on purpose. A link nobody touched can be the one that now leads to a page that no longer exists.

Test the card the way a stranger would

Reading the profile while you edit it tells you what you meant to publish. Scanning it tells you what people actually get. After any edit, and always during the quarterly check, use a second phone, not the one you edit on.

1. Scan the QR code and confirm it opens the right profile.

3. Read the page top to bottom as if you were meeting yourself for the first time.
4. Tap every link, number and email button and see where each one goes.
5. Save the contact to the phone and check what was saved, because that copy is what the person will keep.

Five minutes with a second phone catches more than any amount of re-reading in the editor.

Set a review rhythm

Two kinds of check keep a card current: one on a fixed date and one triggered by a change. You need both, because the date catches what you forgot and the trigger stops a known change from waiting three months.

Three months is long enough that little has usually changed and short enough that nothing stays wrong for long. Put the date in your own calendar as a repeating reminder, or add it to the task list you already use.

A 20-minute quarterly review, step by step

1. Open the profile and read it as a visitor. Note anything that is no longer true.
2. Work through the checklist table above, one row at a time, including the links.
3. Edit what is wrong and save. The details live in the profile, so no reprint is needed.
4. Run the second-phone test from the section above.
5. Check how many profiles you use against your plan (Free 3, Pro 15, Team 50) and whether any belong to people who have left.
6. Record the date. A note such as "checked 7 January, no changes" is enough, and it makes the next review faster.

Handling a team's cards

Once several people have cards, upkeep becomes a small process. Four habits keep it manageable.

• Keep a simple register. A spreadsheet with name, title, number, email, branch and the date each card was last checked. It also shows which cards have never been reviewed.
• Make company details identical. Business name, website, address and main line should read the same on every card. Settle them once, then copy them.
• Give staff a way to report changes. A shared email address or a message to the owner, ideally at the moment HR records a promotion or a new extension.
• Tie cards to joining and leaving. A new hire gets a card as part of onboarding, and a leaver's card is dealt with on the last day. That case has its own guide: what happens to a digital name card when an employee leaves.

Internal moves are the commonest missed update. A promotion changes the title in the HR records and on the email signature the same week, and the card should change with them. The register also shows how close you are to your plan's profile limit.

What the printed card never needs

A physical NFC card opens your profile. It is the doorway, not the room, so a changed title, number or email is an edit to the profile, not a new card. That keeps the upkeep in this guide almost entirely a profile job.

The one exception is text or branding you chose to print on a Custom-Design card. If a printed name or logo is what changed, an edit cannot reach it. Telling people when something important changes

An edit changes what the next person sees. When someone saves your contact, they keep a copy on their own phone, and you should not assume a later edit rewrites it. So for a new phone number or company name, a quick edit is only half the job.

• Tell the people who matter. Message key clients and partners with the new detail and ask them to re-scan your card or update their copy.
• Update everywhere else it appears. Email signature, website contact page, social profiles, invoices and quotation templates.
• Keep the old route open for a while. If you can, forward the old email address or keep the old number answering for a few weeks.

This is also why consistency matters. If the card, the signature and the website all say the same thing, a client who finds you through any of them reaches the right person.

Common mistakes

• Treating "editable" as "up to date". The platform lets you change a detail. It does not notice that a detail has changed.
• Having no named owner. A card everyone could edit is a card nobody does.
• Updating the card last. Add it to the checklist for a promotion, a new number or a rebrand, so it changes the same day.
• Checking only in the editor. Always scan or tap from a second phone to see what visitors get.
• Leaving old promotion links. A link to a finished campaign makes the whole card look neglected.
• Reordering a card that did not need it. A changed title, number or email is a profile edit, not a reprint.
• Forgetting leavers and internal moves. Both change who a card should describe, and both are easy to miss without a trigger.
• Assuming saved contacts refresh. Tell important contacts directly when a number or company name changes.
